NYAC 2019: Poster Proposals Submission Open

The 2019 NYAC Poster Session Committee is accepting proposals for the NYAC conference poster session to be held at the 2019 NYAC Conference. The conference will be held at St. John Fisher College in Rochester, NY, June 5-7, 2019.

Eligibility for Submitting a Poster Presentation Proposal:

•                 Individuals holding a position as archivist, curator or historian for a repository containing historical documents or records, with preference given to those living or working in New York State.

•                 Individuals whose work significantly involves arrangement and description, reference services, digitization or other technology-based projects, preservation/conservation of paper or electronic material, etc., in a professional archival setting, with preference given to those living or working in New York State.

•                 Graduate students currently enrolled in an accredited graduate program with a concentration in or significant archival coursework in Archival, Museum, Library or Information Science studies, with preference given to those living or attending school in New York State.

•                 The work of joint presenters of a single poster is also acceptable.

Poster Presentation Content:

•                 Content should be directly appropriate for interest of and use by conference attendees, which include archivists, curators, historians, educators, and primary source researchers/users.

•                 Topics of interest to archivists and local historians, including but not limited to archival theory and practice, practical solutions to archival issues, new or emerging initiatives, accessibility, advocacy, and the history of archives or records, etc., are appropriate.

•                 Topics may include such work as the use of archival or special collections for research and/or educational purposes.

Submission Instructions and Deadlines:

Deadline for receipt of proposals is March 15, 2019 (mailed proposals must be postmarked by March 15).  No late proposals will be accepted.

To prepare and submit a proposal, please complete the proposal form available on the New York Archives Conference website at http://www.nyarchivists.org/nyac/.

Preferred submission is by email attachment to Nicole Westerdahl at ncdittri@syr.edu.

Participant selection will be based on the quality and completeness of proposals submitted. Applicants will be notified of the status of their submission by mid-April 2018.

All applicants whose proposals are accepted will be expected to supply their own supplies, including, presentation boards or rolled prints with a means to attach to an easel. NYAC will provide specifications for poster size with applicant’s confirmation of acceptance to attend and present at the conference.

Please note that the poster session is intended for content related to scholarship, case studies, etc. For those who wish to promote or inform others regarding their archives, collections, activities, etc., an opportunity for such material will be made available in a different area for the duration of the conference. NYAC 2016: On-Campus Housing

Every year we try to provide access to dorms on the college campuses we hold the annual meeting at.  We do this to help keep conference costs down for our attendees.   This year is no different!

At SUNY Plattsburgh we will be staying in Macdonough Hall.  

The costs for the dorm are as follows:
Singles: $40 pp/night
Doubles: $30 pp/night


Registration for a dorm room is separate from conference registration and must be completed by JUNE 1st.  Register for a dorm room here.
Residence Hall check in will be available at the time of conference registration. If you want to stay on-campus, you MUST register in advance. There will be no on-site registration for housing.

Residence hall check-in times:
Tuesday, June 7th: 5-7pm
Wednesday, June 8th: 10am –noon and 3-5pm
For those arriving outside of those times, room assignments and proximity cards will be available at the University Police office.

Attendees will be provided with a linen packet, which includes the following: sheets, blanket, pillows, and towels.


NOTES:
*There is no Air Conditioning in the dormitory
*There is a small television lounge on each floor and a large one with a kitchen on the first floor.
*Other than in the first floor lounge/kitchen, there are no refrigerators in the residence hall.
*There are no irons or ironing boards in the residence hall.
*There are washers and dryers available in the residence hall.
*The beds in Macdonough Hall are mattresses on an iron bed—no box springs. Some might want to bring a blanket or sleeping bag as a cushion.

Travel Alert: Amtrak

If you are planning on taking Amtrak to SUNY Plattsburgh for NYAC 2016, we just got work of a schedule change for the time period of the conference:

New York - Albany - Syracuse - Rochester - Buffalo - Niagara Falls

Empire Service and Maple Leaf Temporary Schedule Change

Effective April 24 - July 13, 2016

From April 24 through July 13, CSX Transportation will perform extensive track work between Albany-Rensselaer and Niagara Falls, NY. To accommodate this work, Empire Service and Maple Leaf schedules will be adjusted.

• Trip times between Albany-Rensselaer and Niagara Falls will increase by up to 25 minutes.
• On Sunday through Wednesday, Trains 284 and 281 will not run.
• Some train numbers will change, however, frequencies between Albany-Rensselaer and New York will not be affected.
• Some trains will depart earlier. To avoid missing your train, check Amtrak.com, our free mobile apps or speak with Amtrak personnel for the most up-to-date schedules.

First time attendees guide to NYAC

Is this your first time attending NYAC? Not sure what to see or where to start?  Read this for everything you might want to know! 

The Basics

NYAC is a three day conference, Wednesday to Friday, which is usually held in the first or second week of June.  The conference location rotates every year so that we can serve and educate archivists all over the state of New York.

The Folder
Upon arrival at the conference, you will receive a folder that serves as your registration packet. On the outside of the folder will be a label, with your name, what sessions you checked off during registration, and if you signed up to attend the reception and/or the luncheon.

 Inside the folder there will be:
*A name badge
*Campus map
*A list of room locations for each session
*A list of places to eat on and off campus
*Minutes from the last membership meeting
*Annual Meeting agenda
*Financial report
*Board list/Acknowledgements
*Conference evaluation 

NYAC, day by day:

Wednesday:

Wednesday is Workshop day.  There are half and full day workshops. Workshops are not included in the conference fee, and must be paid for separately. This is because some people can only attend one full day or one half day workshop, and not necessarily the whole conference, but we still want to allow them to participate!

Thursday:
Thursday is a full day of sessions.  The day usually starts around 8:30am with a plenary, which gives attendees something to think about while they attend the conference. Following the plenary is the NYAC business meeting.  At the business meeting, the NYAC board will go over various items, such as how much money is in the budget, and introducing the professional development grant winners to all the attendees. As an attendee of NYAC you are a voting member, so any votes that come up during this meeting (approving minutes, or reports, or confirming a slate of board members) you can participate in.  During this meeting there are also important announcements for conference attendees to know, such as any changes in room locations.  

Following the business meeting, sessions start.  Two or three sessions run concurrently, with each session running for an hour and a half.  After the first group of sessions, attendees are given anywhere from an hour to two hours for lunch on their own. This is a great chance to sample some of the local eateries! Enough time is given so you don’t have to stick to just campus. A list of food locations is provided in the folder you receive upon arrival.

After lunch is another group of two or three concurrent sessions.  This is followed by the Poster Session.  At this time, the creators of accepted posters will be available to answer questions and discuss the topics of their poster.  Immediately after the poster session is when Roundtables take place.  This is an opportunity for NYAC attendees to be a greater part of the discussion, ask questions of their peers, share their own knowledge, and learn from each other.

Thursday usually ends with a reception. There are light refreshments and drinks, and this gives attendees a chance to mingle and network in a less formal setting. 

Some years, we have special events after the reception.  Be sure to check the conference program to make sure you don’t miss anything!

Friday

Friday has two sets of concurrent sessions, and is then followed by an optional luncheon.  The luncheon is paid for separately from the conference fee, and has a speaker, usually talking about a specific project or experience.  We also present grant winners with their grant money, and introduce them to attendees one more time.

Make sure to fill out your Conference Evaluation form and hand it back to us before you leave NYAC. This helps us determine what topics we should cover in the following year's NYAC meeting, as well as letting the board know what worked, and what didn't work at the current conference.

NYAC 2015: Accommodations

Part of what helps keep NYAC affordable is that we arrange to have dorms available to our attendees to lower the cost of attending.  This year lodging will be available in the University Commons (#35 on the campus map).

The costs for dorm rooms this year are the same prices for singles and doubles

All additional nights—$55
The dorm rooms include televisions, micro-fridges, sinks, wastebaskets, and basic linens  [2-sheets, 2-towels, pillow with pillowcase, blanket].
Two rooms share one bathroom. Laundry facilities, including irons and ironing boards, are available in the residence hall.

WiFi at NYAC 2014

We all likely have some kind of device that would require us to login to the wifi during NYAC 2014!

"Connect2BU is the wireless network for Binghamton University guests and is the point of entry for Binghamton University students, faculty and staff connecting a device to the busecure wireless network for the first time.

Detour on Binghamton Campus

We received notification that, due to paving, a detour will direct NYAC attendees to follow the West Access Road to Rafuse Hall when you arrive at Binghamton University.  You should be directed to bear right at the traffic circle and take the West Drive.  Note the new parking lot information:  Lot T1 probably will not be open so everyone should park in Lot P, O3 or O4.

Eating while at NYAC

IF you are coming to #NYAC2014, remember that lunch and dinner are on your own on Wednesday June 4th, and Thursday June 5th.

Also there are a large number of eateries on the Vestal Parkway if you turn left when exiting Binghamton University’s main entrance. There are also a number of independent restaurants including ethnic restaurants (Vietnamese, Korean, Japanese, Chinese) and local restaurants (Nirchi’s , Spiedie and Rib Pit , Plaza Diner).

SAA DAS Course: Appraisal of Electronic Records,

Increasingly, archival records are created in electronic formats. As a result, archives of all types are responsible for the preservation of electronic records. After a review of the fundamental principles of archival appraisal and appraisal policies, you‘ll be introduced to the unique issues that need to be addressed when appraising electronic records. Tour 3: Binghamton Zoo at Ross Park

On Friday, June 6th, we have set up tours for our attendees.   Each tour is paid for when you arrive at the tour site, and starts at 2:30pm.

"Celebrating 139 years, the zoo officially opened in 1875 and is the fifth oldest zoological institution in the country. Winding wooded paths and naturalistic exhibits house over 100 different species with a strong emphasis on conservation education. Tours include discussion of interesting natural history facts such as habitat, diet, and survival strategies, as well as specific personal information on the animals here at the Binghamton Zoo."

The recent birth of  3 otter pups has prompted the zoo to hold a naming contest. Submit a suggestion,  and maybe you will sign up for Tour 3 when you register for NYAC 2014!!

Tour 2: The Phelps Mansion Museum

On Friday, June 6th, we have set up tours for our attendees.   Each tour is paid for when you arrive at the tour site, and starts at 2:30pm.

Tour 2 is to the Phelps Mansion Museum. 

"The museum houses many paintings from many 19th century artists such as Edmund D. Lewis, M. Van Wyck and Harry Roseland. The museum itself is a work of art. Designed by Isaac G. Perry, the museum is open to the public for all to see one of the best examples of Victorian architecture."

Tour 1: The Bundy Museum of History and Art

Tour 1 is to the Bundy Museum of History and Art .

"In 1889, two brothers, Willard Bundy a jeweler and inventor, and Harlow E. Bundy, a young entrepreneur, opened a time recording clock company in downtown Binghamton. By the turn of the 20^th century, thousands of workers were clocking in and out of work on Bundy Time Recorders. The company flourished, moved to Endicott, and eventually became IBM. The Bundy Museum seeks to not only honor the accomplishments of Binghamton‘s entrepreneurs like the Bundys, but also pays respects to the culture that influenced them. The collection ranges from early manufacturing and broadcasting artifacts to international art designed to enrich local culture. Local entrepreneurs, artists and personalities are showcased."

The Bundy Museum has a variety of exhibits to check out.  Everything from time recording clocks, to art galleries, and it even has a complete barbershop that was originally located two blocks away from the IBM factory.

Roundtable 3: Speed Mentoring

Join us for a roundtable discussion. The roundtables have no formal presenters. They are designed to provide time for fuller discussion, to allow attendees more input as to the direction the discussion will take, and time to share experiences with other attendees.Please comment below with questions or topics for this roundtable.

Mentoring in the style of a speed dating event. This interactive session gives mentees the chance to have quick, focused exchanges about their careers and other professional considerations with experienced professionals. Participants can extend the mentor/ mentee relationship if they choose. Students and new professionals who would like to be mentees and experienced professionals who would like to be mentors are encouraged to sign up for this event; please indicate whether you are a mentor or a mentee when registering. The session will have a musical chairs-style format, with mentees speaking to each of our mentors for 10 -15 minutes. Mentees are encouraged to come equipped with questions.

 The number of mentor/mentee spots available and the amount of time spent with each mentor is dependent upon registration.

Roundtable 2: Digitization Demystified

Join us for a roundtable discussion. The roundtables have no formal presenters. They are designed to provide time for fuller discussion, to allow attendees more input as to the direction the discussion will take, and time to share experiences with other attendees.Please comment below with questions or topics for this roundtable.

By now, it is clear to everyone that the digitization process isn‘t merely running a photo through the scanner. There is the planning and management, staffing and funding, selection criteria, legal restrictions, metadata creation, image creation, quality control, file management, delivery and presentation methods, and of course, preservation.

Come to this roundtable to learn from your colleagues, to seek their advice and offer your own, and to share those best practices that really work well for you, as well as those processes that didn‘t work well at all.
